Bookkeeping Spreadsheet

A bookkeeping spreadsheet is a manually maintained ledger, typically built in Excel or Google Sheets, used to record income, expenses, and account balances. It is a low-cost alternative to dedicated accounting software, common among very small or early-stage businesses. While flexible, spreadsheets lack the automation, reconciliation, and audit controls that purpose-built software provides.

Problem & Application

Many owner-operators start with a bookkeeping spreadsheet because it is free and familiar, and for a single rental or a brand-new venture it can work. But as transaction volume grows across multiple properties or revenue channels, spreadsheets become error-prone, hard to reconcile against bank statements, and risky at tax time. Knowing when to graduate from a spreadsheet to real accounting software is a common turning point for growing operators.
