Preparing a Form 1099

Preparing a Form 1099 is the process a business follows to report payments it made to non-employees, most commonly independent contractors via Form 1099-NEC. It involves collecting the payee's legal name, address, and taxpayer identification number from a completed Form W-9, totaling the reportable payments made during the year, entering that information on the correct 1099 form, and then furnishing a copy to the recipient while filing another copy with the IRS.

Problem & Application

Owner-operated businesses, STR managers, and campgrounds that rely on contractors such as cleaners, maintenance crews, and freelancers must prepare a 1099 for each one who meets the reporting threshold, and missing or late forms can trigger penalties. Collecting a W-9 before the first payment and tracking contractor totals throughout the year, rather than scrambling at filing time, is what makes 1099 preparation accurate and on time; check current IRS guidance for thresholds and deadlines.

In Short

Preparing a 1099 comes down to capturing accurate payee information up front and reporting the right totals to both the contractor and the IRS by the deadline.
